Terms

Terms for families

Version terms-2026-10

These Terms are the agreement between Concierge Vet Ltd (“we”) and the parent or carer who signs a family up to Fathomtrail (“you”). You agree to them by ticking the box when you sign up. Our privacy notice explains how we use personal data, and there is a notice written for children.

Who can sign up

A family is signed up by a parent or carer aged 18 or over, using their Google account. That person becomes the family’s owner and holds the account. Children cannot sign up themselves. Tutors and teachers do not sign up: a family invites them, and an invited tutor uses Fathomtrail free of charge.

What Fathomtrail does

Fathomtrail teaches the courses you choose for each of your children. It finds out what each child already knows, teaches what they do not know yet, and keeps a record of their work and progress that the adults in your family can see.

The free trial

Every new family starts with a 14-day free trial. You do not need a card for it. If you do not choose a plan by the end of the trial, nothing is charged and your family becomes read-only: you can still see your family’s records, download them and delete them, but nothing new can be added or changed until you choose a plan.

Plans and prices

One plan covers the whole family: all subjects, and up to 4 children at a time. It costs £19.99 a month or £179 a year. Families that joined during the beta, and families that sign up while we offer the founding price, pay the founding price instead: £12.99 a month or £119 a year. A family that has the founding price keeps it. Tutors and teachers a family invites are free.

Prices are in pounds sterling. Payments are handled by Stripe, and only the family’s owner can choose a plan. If you choose one during the free trial, you give your card details then, and the first payment is taken when the trial ends (or two days after you choose the plan, if the trial has less than two days left). A plan renews automatically at the end of each month or year until it is cancelled.

If a payment fails, your family keeps full access for 7 days after the end of the period that was paid for. If the payment is still not made by then, your family becomes read-only until it is.

Cancelling

The family’s owner can cancel the plan at any time, through the billing page Stripe provides for us. The plan then stops renewing, and your family keeps full access until the end of the month or year already paid for. After that your family becomes read-only, as at the end of the trial. Cancelling does not delete anything; your family’s records stay until the owner deletes them.

Children’s accounts

The owner and any parents in the family create each child’s profile. A child’s profile is part of the family’s account, not an account of the child’s own. Your family can have up to 4 children who are not archived. You are responsible for your children’s use of Fathomtrail, and for keeping the family code and their PINs safe. Please read the children’s notice with your child.

What Fathomtrail does not offer

  • No grade predictions. Fathomtrail shows what a child knows and does not know yet. It never predicts a grade.
  • No guarantees. We do not promise any exam result or grade.
  • AI never sets marks. AI explains, asks questions and gives feedback. Marks that count come from automatic checks of fixed answers or from an adult in your family, never from AI.

Using Fathomtrail fairly

Use Fathomtrail only for the learning of the children in your family, and only through the adults and children your family has added or invited. In particular:

  • keep your Google sign-in, your family code and your children’s PINs to your family;
  • do not try to reach another family’s records, get round the app’s security or limits, or overload or copy the service;
  • do not put other people’s personal details, or anything unlawful or abusive, into answers, messages or notes;
  • tutors and teachers use what they see only to help the family that invited them.

To keep the service working for everyone, the app can limit how many AI and speech requests a family makes each day.

Suspension

If a family’s account is used in a way these Terms do not allow, or in a way that puts children, other families or the service at risk, we may make the account read-only or suspend it.

Deleting a child or your family

The family’s owner can delete a child’s record, or the whole family, at any time from Settings. Deleting the family also cancels its plan. What is removed, and the little that is kept so that a backup cannot undo a deletion, is set out in the privacy notice.

Changes to these Terms

Every adult in a family agrees to these Terms: the parent or carer who signs up, and every parent, carer or tutor who accepts an invitation. We record the version each adult agreed to and when, with their place in each family. If we change the Terms, the new version is published on this page with a new version reference, and the app asks each adult to agree to it the next time they sign in, before anything else. Children are never asked to agree to the Terms.
